Kaimetric ("we," "us," "our") is committed to protecting the privacy of our users and the athletes whose data is managed through our platform. This Privacy Policy explains what information we collect, how we use and protect it, and your rights regarding that information.

By using Kaimetric, you agree to the collection and use of information as described in this Privacy Policy. This policy should be read alongside our Terms of Service.

1. Information We Collect

Account Information (provided by coaches and gym owners)

Program branding preferences (name, color)
Payment and billing information (processed by our third party payment provider; we do not store full payment card details)

Athlete Data (entered by coaches on behalf of their athletes)

We do not use third party advertising trackers. We do not build advertising profiles from your data or Athlete Data.

2. How We Use Your Information

We use the information we collect exclusively for the following purposes:

Providing the Service: Storing, processing, and displaying your data within the platform so you can track athlete performance
Account Management: Authenticating your identity, managing your subscription, and communicating with you about your account
Service Improvement: Understanding how features are used so we can improve the platform experience
Security: Detecting and preventing unauthorized access, abuse, or fraud
Legal Compliance: Complying with applicable laws, regulations, and legal processes

We will never use Athlete Data for any purpose beyond providing and improving the Service as described in these terms.

3. Data Ownership

Your data belongs to you. Coaches and gym owners retain full ownership of all Athlete Data and content they enter into Kaimetric. We act as a data processor on your behalf.

Specifically:

You own your Athlete Data at all times
We will never sell, rent, lease, or trade your data or Athlete Data to any third party
We will never use your Athlete Data for advertising, marketing profiling, or any purpose unrelated to providing the Service
You may export your data at any time
Upon account termination, you have 30 days to export your data before it is permanently deleted

4. Data Storage and Infrastructure

Kaimetric is built on modern, secure cloud infrastructure. Your data is stored using the following technologies and practices:

Database: Supabase (built on PostgreSQL), hosted on Amazon Web Services (AWS) infrastructure
Hosting Region: United States
Encryption at Rest: All data stored in our databases is encrypted at rest using AES-256 encryption
Encryption in Transit: All data transmitted between your browser and our servers is encrypted using TLS 1.2 or higher (HTTPS)
Row Level Security: Our database implements row level security (RLS) policies to ensure that each coach can only access data belonging to their own organization. This means that even at the database level, one coach's data is isolated from another's
Authentication: User authentication is handled through Supabase Auth with secure token management

5. Data Sharing and Third Parties

We do not sell your personal information or Athlete Data to third parties. Period.

We may share limited data with the following categories of service providers, solely to operate the Service:

Infrastructure Providers: Supabase and AWS for database hosting and cloud infrastructure
Payment Processing: Our payment processor handles billing transactions; they receive only the information necessary to process payments
Email Services: Transactional email providers for account notifications (signup confirmations, password resets)

All third party service providers are contractually obligated to protect your data and may only use it for the specific services they provide to us.

We may also disclose information if required to do so by law, regulation, or legal process, or if we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others.

6. Children's Privacy and COPPA

Kaimetric is designed for use by adult coaches and trainers, not by children directly. However, we understand that the nature of sports performance coaching means that Athlete Data about minors (individuals under the age of 13, or under the age of 16 in certain jurisdictions) will be stored on the platform.

Our Approach

Kaimetric does not knowingly collect personal information directly from children. All Athlete Data is entered by adult coaches acting in their professional capacity
We do not require or request that minors create accounts or interact with the platform directly
We do not use Athlete Data about minors for any purpose other than providing the Service to the coach who entered it

Coach Responsibilities

As the Account Holder, you are responsible for compliance with the Children's Online Privacy Protection Act (COPPA) and any other applicable laws regarding minors' data. This includes:

Obtaining verifiable parental or guardian consent before entering personal information about any athlete under the age of 13 into the platform
Maintaining records of such consent
Honoring parental requests to review, modify, or delete their child's data
Ensuring that your collection and use of minors' data is limited to what is necessary for the legitimate purpose of athletic performance training

If we become aware that personal information about a child under 13 has been entered into the platform without verifiable parental consent, we will work with the Account Holder to resolve the situation, which may include deletion of that data.

7. Data Retention and Deletion

Active Accounts

We retain your data for as long as your account remains active and you maintain a valid subscription. Data is stored in our systems and backed up regularly to prevent loss.

Account Cancellation

When you cancel your account, your data will remain accessible for 30 days to allow you to export it. After this period, your data will be permanently deleted from our production systems. Backup copies may persist for up to 90 additional days before being purged in accordance with our backup rotation schedule.

Data Deletion Requests

You may request deletion of specific Athlete Data at any time through the platform interface. You may also request complete account and data deletion by contacting us at matt@wilmingtonstrength.com. We will process deletion requests within 30 days.

Data Export

You may export your Athlete Data at any time. Exported data is provided in standard formats (such as CSV) to ensure portability.

8. Cookies and Local Storage

Kaimetric uses a minimal number of cookies and browser storage mechanisms, limited to what is necessary for the platform to function:

Authentication Tokens: We store session tokens in your browser to keep you signed in. These are essential for the Service to work and cannot be disabled while using the platform
Session Preferences: We may store UI preferences (such as selected views or filters) locally in your browser to improve your experience

We do not use advertising cookies, social media tracking pixels, or any third party cookies for behavioral profiling. We do not participate in tracking across other websites.

9. Your Rights

Depending on your jurisdiction, you may have the following rights regarding your personal information:

Access: You may request a copy of the personal data we hold about you
Correction: You may update or correct inaccurate data through the platform or by contacting us
Deletion: You may request deletion of your personal data, subject to our data retention requirements
Portability: You may export your data in a standard, portable format
Objection: You may object to certain types of data processing where applicable

10. Security Incident Response

In the unlikely event of a data breach that affects your personal information or Athlete Data, we will:

Investigate and contain the breach as quickly as possible
Notify affected Account Holders by email within 72 hours of becoming aware of the breach
Provide details about the nature of the breach, the data affected, and the steps we are taking to address it
Notify applicable regulatory authorities as required by law
Take corrective action to prevent recurrence

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make material changes, we will:

Update the "Last updated" date at the top of this page
Notify you by email at least 14 days before the changes take effect
Post a notice within the platform

Your continued use of the Service after the effective date of any changes constitutes your acceptance of the updated Privacy Policy.
